Our team offer a wealth of experience in the privacy and protection of customer information, including professional backgrounds working for the Data group within a leading global IT Security and Risk consulting firm. We tailor our skills and know-how to meet the requirements of the charity sector and our own work - and you'd be surprised at the results we get.

Effective use of your data can make it a truly desirable asset, reducing your risk exposure and ideally giving you insight into what's just around the corner.

Data Analysis

Any custom piece of work conducted by us, under the auspices of any one of our services, will be accompanied by a detailed completion document, listing our in-depth analysis of the results of the work. Statistics and guidance might relate to a change in event format, a new time of year, an increased fundraising target or anything else we've helped with. These insights can help strengthen revenue and reduce costs, either for annual events or for the development of standard practice.

If you'd like to work with Choose a Challenge in the future, then providing us with some basic data from your previous challenges to use in our analysis tools can solve a great deal of headaches for both client and challenge partner. We'll work with standard extracts from your fundraiser database or online donation provider to unlock the most valuable findings from your last event or provider.

Data Privacy

Privacy is something we take pretty seriously. As a registered Data Controller and advocate of the Personal Information Promise, you can be sure that we use our data (and that of our partners) ethically and efficiently.

For full details on how we use our data, please refer to our Privacy Policy. However, the salient points are as follows. On a number of occasions in our online systems, we make limited amounts challenge participant data available to third parties. This risk is mitigated as follows:

Charities

By default we share participant names and details of their challenges (including, but not limited to, location, date, sign-up data, address, phone number, email address and online fundraising profile) with the charities they have selected to raise for. In this instance, the charity becomes a data controller in respect of the data that has been shared with them, in accordance with the Fundraising Agreement we hold with the charity. This data remains available to the charity indefinitely, and is available in downloadable reports.

No confidential medical information is shared with the challenge charity.

Event Managers

Our sophisticated challenge admin panel gives a range of data extraction tools for the purposes of event management, including contact information and full challenge details. We maintain full logs of administrator activity, including download history, to establish a method of data tracking. In this instance, the event manager becomes a data controller in respect of the data that has been shared with them, in accordance with the terms of our Information Security Policy. This data remains available to the event managers for up to six weeks after the date of the challenge.

Data Quality

Achieving a satisfactory level of data maturity in the fast paced world of charity challenge registrations could be considered blue-sky thinking, yet we achieve a highly successful data reliability rate through a few simple methods:

Even if you're using a different online registration system, we can apply our mechanisms to your data to ensure that all is safe and sound before crunch time as a piece of custom work at a low cost. If we find issues to resolve at this stage then this can save money, face and time in the long run.

Custom Reporting

Whether you use a standard ERP/fundraising database (like Raiser's Edge) or have an in-house, custom system, we will work with you to define a standard data export available to you from your challenge admin panel. No more spreadsheets for on the fly event management!

No More Papercuts

Something we're especially keen on is getting database extracts into their most useful format - paper! We can easily populate all sorts of membership, registration, third party medical or disclaimer forms in seconds, reducing hours of leg work and tedium. This is something we've incorporated into all our challenges, allowing us to share challenge participant information with our challenge providers, in advance of their challenge date. All that's left is a signature on the big day. This has the added benefit of enabling computer searching of your paperwork.

In accordance with IoF guidelines, we screen for under 18s during our e-Registration process. Details of parents and guardians are automatically added where required by paperwork - meaning that no-one can slip through the process without scrutiny.
